Transform Record Custom Element Configuration

The Transform Record custom element can be a very powerful tool to help your organization cut down on unnecessary tedious tasks within Netsuite.  You can provide a way for any native record transformation that Netsuite supports, to be triggered from within any VERSITAL portal with the control and access you desire.  Remember this element can only be used with the native transformations that are already configured in Netsuite.  Netsuite controls this functionality so be sure to review the list of supported transformation types here.
  1. First start by creating a saved search of the record you would want to START the transformation process.  In this example, we are transforming a shipped Sales Order into a Return Authorization transaction so customers can enter their own returns if necessary.  So we would start by making a saved search of shipped sales orders.


  2. Next, you would want to make a Form Template for both record types to be utilized in this element.  In this example we will make a form template for both the Sales Order record AND the Return Authorization record.  For help with creating form templates see our Quick Start guide.


  3. Navigate to the portal builder in your Admin console, then drag the transform record element into your portal builder workspace.


  4. Give this element a meaningful title


  5. Enter the saved search ID you create in step 1 above.  This will display the list of records you want to transform FROM.


  6. If you would like this list dynamically filtered based on the user who is logged in, the click the "Filter by Entity" box and enter the field ID of the Entity field for this record type.


  7. Select the Record Type of the original record to be transformed and what Form Template should be used when the user Views each record instance.


  8. Next, select the record type this record should be transformed INTO and the Form Template to be used after the transformation is complete.


  9. If you would like to user to edit or add information to the newly created record check the Allow Edit of New Record box.  Otherwise it will only be shown in View mode after the transformation is complete.


  10. When you have completed all the configuration settings click Submit Portal to publish these changes.
